NCCS User Administration Request Form
(Detailed Instructions)


Part I: General Instructions and Information


Requests made of the NASA Center for Computational Sciences (NCCS) concerning userid access to NCCS computing resources should be directed to the NCCS User Services Group. Depending upon your circumstances, these requests can be made using either the NCCS User Administration Request Form (the paper form) or the NCCS User Administration Online: New Userid Request Web Interface (the Web form). The following outlines are provided to describe the functions and limitations of each form in order to assist you in determining which form you should use for your request.

The NCCS User Administration Request Form:

  • can be used to request a new userid on the NCCS high performance computing resources (e.g. login, dirac (including the Data Management Facility (DMF) on dirac), and discover), but
  • must be used to request a new userid by a new user who is a foreign national,
  • must be used to request a new userid on the internal NCCS computing resources (e.g. calvin, panini, webdev and troy),
  • must be used to request a new userid on any other NCCS and Computational & Information Sciences and Technology Office (CISTO) computing resources, and
  • must be used to request a modification to or the deletion of an existing NCCS userid.

The NCCS User Administration Online: New Userid Request Web Interface:

  • can be used to request a new userid on the NCCS high performance computing resources (e.g. login, dirac (including DMF on dirac), and discover), but
  • can not be used to request a new userid by a new user who is a foreign national,
  • can not be used to request a new userid on the internal NCCS computing resources (e.g. calvin, panini, webdev and troy),
  • can not be used to request a new userid on any other NCCS and CISTO computing resources, and
  • can not be used to request a modification to or the deletion of an existing NCCS userid.

If you are completing the NCCS User Administration Request Form for yourself, references in the form and the instructions to "you," "your" and "the user" refer to you as the person requesting access to NCCS computing resources. If you are completing the NCCS User Administration Request Form for someone else, references in the form and the instructions to "you," "your" and "the user" refer to the person for whom the request for access to NCCS computing resources is being made.


Part II: Completing Your NCCS User Administration Request Form


Because of the need to have the signatures from the NCCS User Administration Request Form on file, the form must be printed in order to be completed. Please print or type all information. Unless labelled as optional, all items are required. No request can be processed unless all required information is provided. Incomplete forms will be returned to the user for completion.


Section I: Determining the Type of Your Request


Item 1: Type of Request

Please check only one of the three blanks in this section based on the following information concerning the types of request that are possible using the NCCS User Administration Request Form.

Item 1a: Userid Addition

You can only request a userid addition if you do not already have an existing NCCS userid on any NCCS computing system. You can not request a userid addition if you already have access to an NCCS computing system. If you already have access to an NCCS computing system, you can only request a userid modification (cf. item 1b of the form) or a userid deletion (cf. item 1c of the form).

Item 1b: Userid Modification

You can only request a userid modification if you maintain your existing NCCS userid on at least one NCCS computing system both before and after your requested modification has been processed. You can not request a userid modification if you do not already have access to an NCCS computing system. If you do not have access to any NCCS computing system, you can only request a userid addition (cf. item 1a of the form). You can not request a userid modification if the modification requested would remove your NCCS userid completely from all NCCS computing systems. If you wish to remove your NCCS userid completely from all NCCS computing systems, you can only request a userid deletion (cf. item 1c of the form).

Enter your NCCS userid, and state the nature of the modification on the blanks provided. If necessary, refer to Section II of the form.

Item 1c: Userid Deletion

A request to delete a userid is a request to remove a userid completely from all NCCS computing systems. Enter the userid to be deleted on the blanks provided. For a deletion request Section II and Section III of the form are optional.

An Authentication Key Token (AKT) is an electronic security device (e.g. an RSA SecurID, a CrytoCard, etc.) used in conjunction with a userid and password to maintain the security of a computing resource. If an AKT is issued by the NCCS for use with your userid, you must return this device when you request your userid deletion.

Concerning the Disposition of Files of a Userid Being Deleted

Before requesting a userid deletion, all files required by the research effort should be transferred to one or more authorized users, otherwise, these files will be deleted when the userid is deleted.


Section II: Your System Access Information


Item 2: Your NCCS Identification Code Question and Answer

Enter an NCCS Identification Code question and answer on the blanks provided.

Concerning the NCCS Identification Code Question and Answer

The NCCS Identification Code question and answer are not being used as a password. The NCCS Identification Code question and answer are used by the NCCS User Services Group to positively identify users when sensitive information--like a password--is discussed by telephone. You may use whatever question and answer combination you wish, however, you should provide a code that you will remember. If you can not remember the answer to your NCCS Identification Code question, you will be required to send by facsimile (fax) a new NCCS Identification Code question and answer combination with your signature via the following fax number:

The signature on the fax will be verified against the signature on the your original NCCS User Administration Request Form userid addition request for access to NCCS computing resources.

Concerning Userid Passwords

The NCCS will provide an initial temporary password for a request for a new userid, or a request to modify a userid password. Because of security issues, the user will only be notified of the password in person or by telephone. The NCCS employs a Lightweight Directory Access Protocol (LDAP) to consolidate NCCS computing resources to use a single NCCS password. Because of differences in the various NCCS computing systems, however, there are several different ways to change your NCCS LDAP password:

  • From the Linux (discover) Cluster, the SGI Altix 3000 (palm/explore) Cluster and other internal NCCS computing systems, the customary password-changing command, "passwd" will change your NCCS LDAP password.
  • From the SGI Origin 3800 (dirac) computing system, the customary command will not work with the NCCS LDAP, therefore, the NCCS has developed a new password-changing command, "ldap_passwd" for this purpose. This command will prompt you to do the following:
    • enter your new NCCS LDAP password,
    • re-enter your new NCCS LDAP password, which must match the password you entered initially and
    • enter your old NCCS LDAP password.
  • You may also change your NCCS LDAP password from the NCCS LDAP Password Change Interface.

Your new password must contain at least eight (8) characters. At least one (1) of these characters must be numeric, and at least two (2) of these characters must be alphabetic. You are also encouraged to use a mixture of uppercase, lowercase and special characters. Your new password is valid for ninety (90) days. Before this period expires and your NCCS LDAP password is disabled, the NCCS LDAP will send e-mail requesting that you change your NCCS LDAP password.

Please remember that when you change your NCCS LDAP password by any of the methods outlined above, you are changing your NCCS LDAP password on all of the NCCS computing resources which employ the NCCS LDAP and to which you have access, but once you change your NCCS LDAP password, it will take approximately ten (10) minutes for the NCCS LDAP to propogate your new NCCS LDAP password to all NCCS computing resoures to which you have access.

Item 3: Your Access to NCCS Computing Systems

Indicate how the NCCS computing systems are to be affected by this request by checking the blank under the appropriate Add or Modify column.

Concerning Access to NCCS Internal Systems

Access to the Dell PowerEdge 1500SC (calvin), Dell PowerEdge 4400 (panini and webdev), Dell PowerEdge 1650 (troy) computing systems is currently limited to users authorized by the NCCS. Access to these systems requires the signature of a Principal Investigator of an NCCS Computational Project (with access to these systems) at item 14 of the form.

Item 4: Your Access to Non-NCCS Computing Systems

Indicate each non-NCCS computing system (i.e. for computing systems not listed at item 3 of the form), to be affected by this request by entering the Node or Internet Protocol (IP) address of the system and the System Administrator responsible for the system in the blanks provided and by checking the blank under the appropriate Add or Modify column. (If necessary, use a separate sheet to include more systems.)

Item 5: Your Preferred Shell Program

Indicate the preferred shell program to be used on all of the computing systems indicated at item 3 and item 4 of the form, by checking the blank under the appropriate Add or Modify column for the shell program chosen. If another shell program is specified at item 5f of the form, please be aware that it may not be available on the system(s) indicated at item 3 and item 4 of the form.

Item 6: Your Computational Project(s)

Indicate each Computational Project to be used by the userid on the computing systems indicated at item 3 and item 4 of the form. Also indicate the Last Name of the Principal Investigator for each Computational Project on the blank provided, and indicate how each Computational Project is to be affected by this request by checking the blank under the appropriate Add or Modify column.

Concerning Computational Projects

The computing systems indicated at item 3 of the form will require at least one NCCS Computational Project at item 6 of the form. The computing systems indicated at item 4 of the form may not require an NCCS Computational Project at item 6 of the form. You should check with your Principal Investigator(s) to determine whether to enter Computational Project(s) on the blanks provided or to leave this item blank.

You will need to provide a copy of this request for each individual Principal Investigator authorizing your access to one or more of his or her Computational Projects at item 6 of the form, in order to obtain each Principal Investigator's signature at item 14 of the form. If a Principal Investigator is authorizing the user on more than one Computational Project at item 6 of the form, the user needs to obtain only one signature for that Principal Investigator at item 14 of the form.


Section III: Your User Information


Item 7: Your Personal Information

Enter your name as it appears on your U.S. birth certificate, U.S. naturalization certificate or foreign national passport. Enter your last name, first name and middle name(s) on the blanks provided. If you have no middle name(s), enter the code: No Middle Name on the middle name(s) blank. If you prefer to use a nickname, enter this nickname on the nickname blank.

Item 8: Your Telephone and Electronic Mail (E-mail) Information

Enter the area code and office telephone number where you may be reached during normal business hours. If there is an extension on this telephone number, also enter the extension number.

Enter the area code and office facsimile (fax) number where we may fax you during normal business hours.

If you wish to provide an alternate office telephone number, enter an alternate area code and telephone number where you may be reached during normal business hours. If there is an extension on this telephone number, also enter the extension number.

Also enter your office e-mail address.

Item 9: Your Employment Information

Enter your employment information in the blanks provided. In addition to the name of the Company, Institution or Government Agency that employs you, we will also need to know the name of your Company, Institution or Government Agency Approving Representative (i.e. your boss ) and your Company, Institution or Government Agency Computer Security Officer, and the office telephone number and e-mail information for both of these individuals.

Item 10: Your Office Address Information

Enter your office address in the blanks provided. If your office is located on-site at the GSFC, please include your GSFC mailstop.

Item 11: Your Citizenship Information

Enter your citizenship information in the blanks provided. If you are a citizen of the United States of America, please skip those items concerning Passport, Visa and Resident Alien information.

If you are not a citizen of the United States of America, you must also provide the Passport, Visa and Resident Alien information. If you are not a citizen of the United States of America, and you are not currently in the United States of America, enter the code N/A in all three blanks concerning a Visa. If you are not a citizen of the United States of America, and you do not have a Permanent Resident Card (also known as a Green Card), enter the code N/A in both blanks concerning a Resident Alien Number.

Item 12: Your NASA Badge Information

For NASA employees and NASA conractors, enter your NASA badge number, color and indicate the issuing NASA Center in the blanks provided. If you do not have a NASA badge, enter the code N/A in all three blanks concerning a NASA Badge.

Concerning the Completion of SATERN Training

As indicated in the NASA Procedural Requirements (NPR) 2810.1A Security of Information Technology (IT), which became effective May 16, 2006, users of NASA systems or information must "Complete mandatory basic IT security awareness training prior to accessing NASA systems and applications and annually thereafter as long as access to NASA information or IT resources continues." (Reference Section 2.4.9.2.f.)

Each NASA facility is responsible for assuring that their employees and contractors have completed this training. If you are not on-site at the Goddard Space Flight Center or another NASA Center, in order to comply with this requirement, the NCCS has arranged for you to use the System for Administration, Training, and Educational Resources for NASA (SATERN). In order to use this Web-based training facility, please do the following:

  • Enter the SATERN Web-site at the following Uniform Resource Locator (URL):

  • From this page follow the link labelled "request a new account" under the heading labelled, "New Contractors, Non-NASA Civil Servants, and Military Personnel Only," on the right side of the page to proceed to the SATERN registration page.

  • Follow the directions on the SATERN registration page and provide the requested information. (The UUPIC is an optional field; leave it blank.) Where "Point of Contact" (POC) information is requested, provide the following information:

  • When all required information has been provided, depress the "Submit" button at the bottom of the page. This will create a "Learner ID" that will be converted to your official SATERN account. (You can not use the Learner ID to complete SATERN training.) You will be contacted via e-mail when your official SATERN account and your initial temporary password have been activated. After submitting your request, you should depress the button labelled "Exit" and wait for the e-mail contact.

  • Once you have your official SATERN account and your initial temporary password you should return to the SATERN URL outlined above and log on in the upper right-hand corner of the page. You will be linked to a page to change the initial temporary password sent via e-mail.

  • Once you have changed the initial temporary password, you should return to the SATERN URL outlined above and log on in the upper right-hand corner of the page. You will be linked to your SATERN Personal page.

  • From your SATERN Personal page enter "Basic IT Security for 2008" (without the quotation marks) in the Search Engine at the top of the page and depress the link labelled, "Go."

  • Depress the "Launch content" button (under the column labelled, "Action") to the right of the course labelled "Basic IT Security for 2008."

  • Complete the Basic IT Security for 2008 Training. (If you feel you are sufficiently knowledgeable, you may go directly to the Course Test.)

  • Complete the Course Test. (The test is pass/fail.)

  • From your SATERN Personal page produce a report of your completion of the course by depressing the tab labelled, "Reports."

  • Link to the Report Name labelled, "Learner History Combined."

  • In order to indicate your name on the report, remove the check in the box labelled, "Mask Learner IDs" and depress the button labelled, "Run Report" at the bottom of the page.

  • Print a copy of this report and return this to the NCCS with your NCCS User Administration Request Form.


Section IV: Authorizations for Your Request


Item 13: Your Signature

You must sign your request in order to fulfill NASA, GSFC, and NCCS Security Policies.

Item 14: Authorization by Your Principal Investigator(s)

You must obtain the signature(s) of the Principal Investigator(s) of the Computational Project(s) entered at item 6 of the form, and enter the date. All requests require a Principal Investigator's signature.

You will need to provide a copy of this request for each individual Principal Investigator authorizing access to one or more of his or her Computational Projects at item 6 of the form, in order to obtain each Principal Investigator's signature at item 14 of the form. If a Principal Investigator is authorizing you on more than one Computational Project at item 6 of the form, you will need to obtain only one signature for that Principal Investigator at item 14 of the form.

Item 15: Authorization by the NCCS

The NCCS will obtain the signature of William (Phil) P. Webster, Chief of the NASA GSFC Computational and Information Sciences and Technology Office, Code 606.0. His signature is required on all userid addition requests.

Item 16: Authorization by GSFC Information Technology Security Management

The NCCS will obtain the required signature from the GSFC Information Technology Security Management. Approval by the GSFC Information Technology Security Management is required on all userid addition requests for a user who is not a citizen of the United States of America.


Part III: Returning Your Completed User Administration Request Form


You may return your completed NCCS User Administration Request Form (and your Certificate of Completion for those required to complete SATERN Training) to the following address:

Requests made of the NCCS User Services Group are processed as quickly as possible, however, because requests are processed on a first-in, first-out basis, depending on the backlog and depending upon the circumstances of your request (e.g. if additional forms must also be processed in order to complete your request), requests may take two or more working days to be completed. You will be notified when your request has been completed.
